Meet with your Account Manager and learn what Appletree does and how it can support you and your practice.
Your Account Manager will get to know you and your practice to understand which Appletree products are right for you.
This is a very important step to helping Appletree get started. We review all of your current insurance relationships so we can identify the best onboarding strategy to begin taking care of your billing and credentialing needs.
Once you have submitted your Essential Information Form, please allow 1-2 business days for your Account Manager to send over the BAA via Docusign.
This is what HIPAA requires for Appletree to be recognized as a Business Associate so we can review your HIPAA protected information. The BAA does not come with any obligation to use our services, it allows us access into your EHR so we can provide you with an accurate and transparent quote for our services.
Once we have a BAA that is signed by you and Appletree, we can proceed to EHR Access.
Once the BAA is complete your Account Manager will coordinate the login credentials with you.
This access allows us to review your existing payers, open balance aging, claim volume and current payer enrollments. This information allows us to create a transparent and accurate quote for you that will clearly identify our billing workflows and any additional projects that may be required for existing open patient/insurance balances.
Once EHR access has been granted, please allow 2-3 days for our billing team to complete the Initial Assessment.
Going into this quote meeting, Appletree will have completed the Initial Assessment which includes information on the following:
* Network participation diagnosis calls to all payers for every clinician
* Review of unpaid claims in your EHR
* Review of all payers EDI enrollments
* Onboarding Plan
Your Account Manager will set up a video call with you. The purpose of this call is to review the projected monthly costs (based on your EHR volume), review any recommended credentialing projects based on the payer diagnosis calls and confirm the details of the onboarding plan.
The onboarding plan is very unique for each practice because it is highly dependent on the status of your EHR prior to partnering with Appletree. We use many different pieces of data in your EHR to bill effectively so it is important that your data is current. We will ensure that there is a clear action plan on all open balances prior to your Appletree start date.
After you decide to move forward with Appletree, we will need this Onboarding packet completed for all of your clinicians and your practice. The information and attachments that are included in this onboarding packet will give us what we need to bill for you most effectively.
We do not send out the contract until this packet is completed and the attachments are received.

Once the Onboarding Packet is completed, your Account Manager will send your contract to you for signature through Docusign and an electronic invoice for the deposit to your preferred email.
The deposit is 50% of your projected first invoice. It is NOT a start-up/onboarding fee. If there comes a time when you decide to no longer parter with Appletree, the 50% deposit is applied towards your final invoice.
Once the contract is signed by both parties and the deposit is received, we will begin offering the agreed upon services.
